Introduction

1. Job Analysis: Which Tasks Need Attention?
Job analysis dissects a whole job into its component tasks, so a trainer can see the full scope of what an employee does before deciding where training effort should go. The process, per the FAO chapter, broadly involves: defining the job or job segment to be analysed; drafting a list of its tasks (through expert input, observation and interviews, group meetings, or a combination); verifying that list with workers and supervisors; and then rating each verified task on three dimensions — how frequently it is performed, how important it is, and how difficult it is to learn. The three ratings are summed into a total score, and tasks with the highest scores become the priority "focus" areas for training.

In this example, "Conducting training" scores highest (10) and is flagged as the focus task — the one job analysis says deserves closer attention. Job analysis stops here: it tells you which task to look at next, not what specifically within that task needs training.
2. Task Analysis: Which Components of That Task?
Task analysis takes the single priority task identified above — "Conducting training" — and breaks it down into its component steps, then applies the same frequency/importance/difficulty rating procedure to each step individually. As the FAO chapter puts it, if job analysis identifies the major blocks of training content, task analysis identifies what makes up each individual block.

Two component steps now emerge as the highest-scoring, most trainable pieces: "Using A/V aids in time" and "Summarizing the lecture." Notice that "Using A/V aids" scores highest not because it happens most often, but because it is rated as genuinely difficult to learn — a reminder that a high-frequency task is not automatically the one that most needs training attention.
3. Skill-Gap Analysis: Is It Actually a Training Problem?
The final stage checks something task analysis alone cannot: whether trainees are already proficient at a flagged component. Each step-component is rated on a 1–5 proficiency scale — from "cannot do at all" to "can do within the time schedule" — and then two further judgement calls are made: is the current proficiency level actually a problem, and if so, can that problem genuinely be solved through training?

⚠️ The Row That Breaks the Pattern
Notice "Supplying handouts": proficiency is low and it is flagged as a genuine problem — but it is not solvable by training. This is the direct, worked-example echo of Topic 13's Mager and Pipe distinction: a real performance gap does not automatically mean training is the right remedy. Here, the likely cause is something other than skill or knowledge (perhaps a resourcing or logistics issue), so it should be routed to a non-training fix rather than absorbed into the curriculum.
